Oh! You have been put in charge of marketing an event and you need an event flyer! So you hit the internet, but you only find a bunch of templates and vague instructions that leave you saying “I know” – but I still can’t figure out how to do it.
That’s okay – pulling together an event flyer – even though it sounds simple, it does require some thinking. But don’t worry, I’ve pulled it all together for you. Just follow these steps right here.
Whether you are planning a party, convention, concert, non-profit event, etc. This flyer event checklist will walk you through the process so you can get a flyer up and ready to go in just a few hours.
In this article, I’m going to show you how to organize your thinking and to-do list (you can use this checklist right here – so consider that) and the resources you can use to write your event flyer. , can design and print .
The Three Steps to Your Event Flyer
When it comes to creating an event flyer, I break the job down into three steps:
- Planning: This is the stage of brainstorming and contemplation.
- Legal: This is where you make sure that you are 100% legal when it comes to the images and distribution of your flyers.
- Production: This is the actual writing, design, development and printing phase
Dividing your work into these three steps will help you stay focused and cover everything you need to do.
Planning your event flyer content
1. Collect all your event information
The first thing you want to do is to bring together all the basic information for your event.
Do not skip this step! This will save you hours of time.
- What is the name of your event?
- What is the phrase or tag line of the event?
- When is your event? (date(s) and time(s)?
- Who is this event for?
- Why should people come to your event? How do they benefit? What is its purpose?
- What or who will they see at this event?
- Is there an agenda or schedule?
- Where is the event? (Know)
- How much are the tickets?
- How do people get tickets?
i made one google docs template (make a copy for yourself) with some more details.
2. How You Will Distribute Your Event Flyer
I know, it sounds weird to think about distribution before designing, but bear with me on this one. Your delivery strategy will affect which event flyer design you are going to use.
You can also choose to design two or three different types for different distribution channels.
Where can you deliver flyers?
There are dozens of creative places to drop flyers where your target audience will find and take them. But before doing so, make sure you check your local laws and regulations. For example, it is illegal to keep travelers in private mailboxes.
I have collected the best places to deliver travelers
- hang or fold over front doors
- community bulletin board
- local business
- coffee shop
- personal business
- Petrol pump
- newspaper boxes
- social media sites
- local room
- Grocery Store
- place to stop
- utility poles
- chambers of Commerce
- car and parking lot
- people on the street
- put in newspapers
- direct mail
- Inside bills and invoices mailed to customers
- booths at events; trade shows, festivals, conventions,
- inside pocket folder
3. What Images You’ll Need for Your Event Flyer
The flyer template you choose will drive what images you’ll need.
Create a wish list of images that you think will entice your audience to come to your event.
- If your event has speakers – make sure you collect all of their headshots.
- If your event is being held in a great location – take some pictures of them.
- If your event is displaying art or some other objects – select some of the most exciting images to display.
- If it’s a recurring event, select a few images from last year’s event and create a small section there.
4. Write Your Event Flyer Copy
The final part of this process is to combine all of your event details into a draft copy for your event flyer.
The good news is that the event flyer template I shared with you will have all the details you need to quickly copy some basics.
Use AI copywriting tools to generate amazing event flyer copy in seconds.
I am a big fan of AI writing tools. I use Jarvis, but there are many other AI copywriting tools you can use. They all have the same template.
I chose the AIDA (Attention, Interest, Desire, Action) template for this.
cover your case on legal
Yes. There are actually laws that affect your event flyer. Here is a list of the legal grounds you need to cover.
1. Image Licensing
Make sure you have permission to print any images you are using in your event flyer. Even if you are going to use stock images, make sure you are downloading the images with the proper license.
2. Delivery Laws: Can I Put Flyers in My Neighbor’s Mailbox?
Check your plan and how you want to deliver your passengers. Check with your city and local government to see if you need a permit to distribute.
Mailboxes are the property of the US Postal Service. You are not allowed to put anything on them, such as flyers, signs about missing items or animals, and advertisements.
“No part of a mail receptacle may be used without postage to deliver any matter, including items or substances, which are supported, attached, hung, or inserted into the mail receptacle Any postalable matter which does not have postal and is subject to the same postage as described above which shall be paid for by post.”
Create your event flyer
Finally, we are ready to start building the flyer. In this section, you are going to write the copy, placing your copy and your images in the templates.
If you’ve completed the steps above, it should be a breeze!
